A quotation alone is generally not legally binding until accepted by the client. However, once a client accepts in writing — email, WhatsApp message, or signed copy — it can constitute a binding agreement under the Indian Contract Act 1872. Always include a validity period, clear terms, and get written acceptance before beginning work or procuring materials.

Quotation — a firm price offer for specific goods/services, valid for a stated period.
Estimate — an approximate cost, not a firm commitment; used when final scope is uncertain.
Proforma Invoice — a preliminary invoice sent after a sale is agreed but before delivery; often used for advance payment requests, imports/exports, and letter of credit.

Use CGST + SGST for intra-state transactions (supplier and buyer in the same state) and IGST for inter-state transactions. A professional Indian business quotation should include: your business name, GSTIN and address; client's name and address; unique quote number and date; validity period; itemised list with HSN/SAC codes, quantities, rates, and GST; total amount in figures and words; payment terms; delivery timeline; bank details for advance payment; and terms & conditions including jurisdiction.
